SAP SuccessFactors solutions offer enhanced product capabilities and new features to properly handle and protect sensitive employee, applicant, and customer data.
The innovations include various functions for the protection of personal data, regardless of whether the data subject remains in the company.
Innovations include data cleansing, consent management, data blocking, and data subject information reports.
Data cleansing
Companies store and process large amounts of personal data. If a company keeps this data longer than necessary, it may not be able to comply with legal requirements and violate data protection.
Some data protection regulations, including the GDPR, require that data be purged (permanently deleted) as soon as there is no longer a legal basis for keeping it.
To better comply with specific countries' data retention regulations, this feature allows customers to define site-specific rules for when data must be permanently deleted.
Consent management
Under certain data protection regulations, companies need the express consent of individuals to store or process their personal data.
This feature allows you to configure and manage consent forms and acceptance throughout the consent process. For example, recruiters can define consent forms in all languages relevant to a company and require applicants to accept the form before applying for a job.
Data blocking
This feature can be used to restrict access to historical personal data during the retention period so that a specific user role can retrieve the data while others are denied access.
For example, an employee in the HR service center may only need to view employee data that is no more than one year old, while an HR system administrator may need access to the employee's entire history.
Reports with info about affected persons
Companies store all kinds of personal data about their employees, from basic information such as name and address to sensitive information such as health data and the results of employee interviews.
This feature allows customers to create a report with all personal data available about an individual in all SAP SuccessFactors solutions. This is because the person has the right to know what personal information is stored about him or her.
